RURALREADY POLICIES

Clear expectations for shared records.

These policies explain how organizations and members should use RuralReady.

Acceptable use

Use RuralReady only for an organization or operation you are authorized to serve. Do not attempt to access another workspace, bypass access controls, upload malware, disrupt the service, scrape protected content, impersonate another person, submit unlawful material or use the service to endanger people, animals, property or the environment.

Account and role policy

Each person should use an email account they own or are authorized to use and complete the verified sign-in process. Organization owners are responsible for assigning appropriate roles, reviewing access and removing users who no longer need it. Shared credentials are prohibited. Shared station or shop devices must be locked and supervised.

Offline-device policy

Offline capability may keep the application shell and previously loaded pages available during a temporary loss of service. A record is not safely submitted until the service confirms it was saved. The organization must secure the device, report loss or theft, reconnect before submitting changes and verify the central record. Do not treat an offline page as the authoritative record.

Data minimization

Record only what the operation reasonably needs. Do not enter Social Security numbers, full payment-card details, patient records, criminal-justice information or unnecessary personal details. Avoid precise home locations and private contact information unless operationally necessary and authorized.

Retention, export and deletion

Organizations should establish their own retention schedule for inspections, training, grants, expenses, animal records and chemical applications. Export and deletion requests are handled through RuralReady support. Some information may remain temporarily in backups, security logs, billing records or records retained to meet legal obligations.

Support and incident response

Report suspected unauthorized access, exposed data, lost devices or harmful content promptly. RuralReady may suspend access when reasonably necessary to protect the service or users while a concern is investigated.

Third-party services

Maps, browser notifications, hosting, email and payment services are governed by their providers as well as these policies. Their availability and accuracy are outside RuralReady’s complete control.
